Advised Fund Process
 

The Grantmaking Calendar

  • OCF Fiscal year begins  January 1 and ends December 31.
  • There are two main opportunities for fund advisors to recommend grants from a fund:
    • Fund Advisors receive a semi-annual packet (see below) in March and September
    • Grant Recommendations may be made in March and April to be approved at Board meeting in May or September and October to be approved at the Board meeting in November
  • Advisors receive a semi-annual mailing (see below) that includes a fund financial statement.
  • If there are special needs, grants may be recommended each month. The Foundation will not contact advisors prior to those dates.
  • Staff is available at any time to answer questions and provide information about your fund, or the nonprofit status of any organization.

Fund Advisor Packet

In concert with OCF’s two primary grantmaking cycles in spring and fall, the Foundation sends information packets to Fund Advisors in March and September to seek grant recommendations. The Packet includes:

  • A fund financial statement that shows the amount available for grants
  • A grant recommendation form (download .pdf)
  • A list of recent grants from the fund
  • Grant suggestions based on charitable interests (unless requested otherwise)

The Grant Recommendation Process

  • Advisors submit grant recommendations in writing prior to grant cycle deadlines via mail, email or fax (download Grant Recommendation Form)
  • OCF staff is available to provide information and undertake research on organizations and projects
  • OCF evaluates organizations recommended to receive grants—reviewing financial, board and program information, and confirming non-profit status
  • OCF's board of directors reviews all grant recommendations for approval
  • Following approval, grant checks and award letters are mailed to the recipient organizations
  • Grant award letters include the name of your Advised Fund, how the grant money is to be used, and a fund contact name and address so that the organization can personally thank you
  • Fund Advisors receive confirmation from OCF that grant recomendations were approved and paid
